Job Description – Office Manager, Stonehenge
Grade: D
Reports to: Stonehenge Director
Location: Stonehenge Ancillary Building
Responsible for: Stonehenge Administrator

Where you’ll be working
You’ll be based in the administrative offices of Stonehenge, near Salisbury.

What you’ll achieve with us
As Office Manager, you’ll be the lynchpin of this busy office of English Heritage’s flagship site.

You’ll make sure that the office and its systems all run smoothly and oversee the Stonehenge Administrator in providing outstanding administrative support to the site. You’ll also be pivotal in the Stonehenge Director’s delivery of the site’s annual targets through your strong PA skills, managing their complex diary and meeting schedule, as well as inbox management, to maximise efficiency.

What you’ll be doing as part of the team

Office Management
1. Responsible for the smooth running of the Stonehenge Ancillary Building Offices, managing the office space and welfare facilities, hot-desk rota, reception and control room area and liaising with visitors, suppliers/contractors and other English Heritage staff as required.

Financial Management
2. Responsible for managing stationary, postage and room hire expenditure budgets and ensuring compliance with all English Heritage finance and procurement procedures.
3. Provide support in coordinating the tendering/contracts process and production of tender/contract documentation as required.

Personal Assistant
4. Provide comprehensive PA support to the Stonehenge Director. This will include diary and email inbox management, organising meetings, preparing briefing notes, taking minutes, organising venues, financial and expenses administration and preparing associated costings/travel arrangements.
5. Co-ordinate and provide administration support to Project Boards and management meetings where travel to other English Heritage offices may be required.
6. Manage small projects as assigned by Stonehenge Director, including VIP visits and events at Stonehenge, liaising with other English Heritage staff in the delivery of these as required.
7. Responsible for all communications as delegated by the Stonehenge Director, including responding to general correspondence, drafting e-mails and letters on behalf of the Stonehenge Director and dealing with all telephone enquiries and to ensure all customer enquiries or complaints are responded to within agreed deadlines.
8. Undertake any other tasks and duties as reasonably requested by the Stonehenge Director.

Staff Management
9. Manage, develop and lead the Stonehenge Administrator to provide the highest quality administrative support at Stonehenge delegating tasks effectively and managing their workload and priorities.

10. Provide administrative support in the planning and delivery of the Solstice and Equinox events, including working during the Winter and Summer Solstice access period if necessary.
11. Assist in the planning and organisation of workshops, training seminars and staff away days or delegate to the Stonehenge Administrator.
12. As part of the site management team, contribute to the overall success of Stonehenge through managing relationships with other teams through effective communication and cross-working, demonstrating English Heritage’s behaviours.

Statutory Compliance
13. Ensure, so far as is reasonably practicable, a safe and secure work environment that does not place people, property, assets, reputation or finances at risk.
14. Demonstrate compliance by completing appropriate risk assessments and ensuring the maintenance of your, and where appropriate your team’s, training records. Occasionally we may need to review a job description to incorporate any changes or other duties needed for the role as identified by the line manager.
