Job Description:
Job Title: Volunteering and Training Manager
Salary: £16,000 per annum (negotiable)
Responsible to: Chair of Trustees
Hours: 23 hours per week
18 hours (on site) + 5 hours on call per week (to deal with urgent matters such as last minute changes to volunteer availability)

Days of work vary and will usually include Fridays but will not normally include Mondays. A minimum of 3 days per week is required, although the role can be spread over 4 or 5 days.

Some evening and weekend working will be required.

Duration: Permanent

Purpose of the Role:

The Volunteering and Training Manager ensures the museum has enough well-trained volunteers to reliably maintain its public opening hours and other advertised activities such as special public events, and any other activities the museum undertakes.

Our Volunteering and Training Manager manages all elements of volunteering within the organisation including recruitment, communication and the ongoing training of volunteers.

Responsibilities
1. Prepare a volunteer rota at least a month in advance, which will be circulated via email and added to our intranet for access in the museum
2. Deal with last-minute changes to volunteers’ availability including out of normal hours when necessary.
3. Review and manage the ongoing recruitment of volunteers, including
a. producing recruitment materials and advertising volunteering opportunities,
b. researching potential sources of volunteers and arranging recruitment opportunities,
c. interviewing potential volunteers and screening for suitability
d. checking references and carrying out DBS checks in line with current legislation and company policy
4. Co-ordinating, delivering and developing the volunteer training programme and the on-going training and development of volunteers including:
a. Arrange to deliver all volunteer induction training
b. Deliver and monitor attendance of core training sessions currently delivered in the evening, to include: Health and Safety, Dealing with Emergencies, Child Protection, Retail Skills, Disability Awareness and Customer Care. Where necessary, other additional training may need to be written and delivered
c. Provide continued training to volunteers on core programs and identified weaknesses including regular informal training of staff on a one-to-one and small group basis
d. Implement new ways to deliver training
5. Maintain the contact lists and circulate as necessary
6. Edit relevant staff instructions, information and rota information on the museum intranet.
7. Organise two main staff social events per year and occasional other social and staff educational events
8. Developing ways to reward and recognise volunteers
9. Maintain a good understanding of volunteer management and links with the Heritage/Museum sector
10. Providing content for the monthly Volunteer Newsletter and ensure its continued production and distribution, either personally or with assistance from a volunteer editor.
11. Supporting other staff with the supervision of volunteers and dealing with issues raised by or about volunteers

PERSON SPECIFICATION

Essential
• Experience of working with and managing volunteers or leading others
• Experience of and enthusiasm for delivering training, inducting for new team members, and supporting people with their ongoing learning needs
• Understanding of the delivery of good customer care and the need for high standards to be maintained by all volunteers involved with the museum
• An empathy with volunteers and an understanding of their needs with an ability to inspire and motivate others
• Ability to work under own initiative with minimal supervision
• Ability to deal with information in a confidential manner and respond with sensitivity to the opinions of others and address any issues raised in a fair and consistent manner
• Excellent organisational skills and the ability to manage a wide range of tasks
• Excellent listening skills and good standard of written and spoken English, including the ability to write recruitment materials without errors of grammar, spelling, or punctuation, and to present articulately in person.
• Keen attention to detail and a commitment to achieving high standards in every aspect of the museum’s work
• Strong interpersonal skills and the ability to deal with a diverse range of people
• Computer literacy including ability to use online tools and learn new software with minimal ongoing support, create/edit documents in Word, Excel and PowerPoint, maintain records and produce clear written and oral reports
• Ability to work within a team and maintain communications where members of that team are working different flexible days and hours

Desirable
• Ability to offer flexibility of working hours according to volunteers’ and museum needs
• Commitment to the ethos and values of the museum including the extensive provision of services to high professional standards by volunteers, minimising the museum’s impact on the environment, and the unfailing delivery of advertised services to all categories of customer.

Relevant professional qualification
• A degree or equivalent experience
• Experience of working within a museum or heritage environment
• An appreciation of waterways and/or industrial history and heritage
