Documentation Assistants – Heritage and Collections

Do you have experience of using and updating collections management systems/databases and a good understanding of museum documentation policies and standards, particularly Spectrum? Would you like to take on a key collections documentation support role in a historic setting? Then make the move to the House of Commons Strategic Estates Heritage Collections team.

In order to preserve the legacy of Westminster Palace and ensure it can continue to serve as home to the UK Parliament in the 21st century and beyond, a major programme of restoration and renewal work must be carried out. We have already begun to establish a new, two-tier governance model for the programme. However, in preparation for the Restoration and Renewal work, we’re looking for enthusiastic individuals, possibly with a Museum Studies qualification, to join our Heritage Collections team.

Working closely with the Parliament’s Curator’s Office, your challenge will be to audit, update and cleanse collections documentation and a collections database in preparation for potential object movements. As well as undertaking a rapid inventory to update and resolve any existing documentation issues, we’ll rely on you to enhance catalogue records in the database, where appropriate, in order to meet data standards. You’ll also be responsible for physically reviewing items in the collection right across the Parliamentary Estate. Identifying and resolving anomalies such as duplicate records, providing updates and reports on progress and liaising with a diverse range of stakeholders and external contractors – all are aspects of this interesting and varied role.

You’ll need to be used to art and object handling within a museum or heritage environment, specifically, working with fine art and/ or furniture and decorative art collections. And, if you’ve worked on a data cleansing project with museum’s collections data and/or of large-scale object movements and the associated documentation, even better. What is for certain is you have good research skills, excellent attention to detail and are genuinely interested in improving data quality. Experience of working in a team and with a large volume of collections is also required, as are good organisational, project management and customer service skills and the ability to deal tactfully and confidently with people at all levels.
