Job Description:
We are looking for an individual who can take responsibility for the day to day management and maintenance of the Grade 1 listed buildings, grounds, and fixtures & fittings of the Geffrye Museum. We need someone who can make sure that the museum runs smoothly and that we deliver the best possible experience for our visitors and those who work for us.
 
Required Skills:
1.Security
•Be responsible for the review, implementation and development of security and emergency policies and procedures relating to the buildings, grounds, collection, staff and visitors.
•Act as first point of contact for the police, emergency services and public utilities as required. Named contact on 24/7 security response.
•Responsible for the training of all new staff in security awareness and procedures.
•Liaise with the Head of Collections regarding the security of the collection.
•Review and update the site assignment security instructions for site-based contract staff and monitor and manage performance accordingly.

2.Visitor Services
•Ensure that a high standard of visitor care is provided in all front of house activities.
•Ensure there is a sufficient level of staffing, daily routines are delivered on time and to a high standard, visitor numbers are collected and visitor knowledge is shared with museum staff.
•Support public engagement initiatives, share and act on visitor feedback.
•Facilitate public & private events and activities.

3.Staff management
•Manage the work of the attendants, gardeners, maintenance and cleaning staff and contract security staff to ensure required standards of service are met for all visitors.
•Be responsible for recruitment, training and development of front of house staff.
•Ensure that accurate records are maintained of hours of work, absences and sickness and that time sheets are accurately completed.

4.Health and Safety
•As the museum’s Health and Safety Officer, be responsible for the safety and supervision of all those who visit the buildings and grounds and ensure all health and safety requirements are met and procedures followed.
•Ensure the museum’s Health and Safety Policy and Emergency Procedures are up to date, and that all staff are aware of their responsibilities.
•Provide support to the restaurant staff to include the regular organisation and facilitation of H&S and Food Safety audits and the implementation of subsequent recommendations.
•Write and maintain the Fire Risk Assessments for the building and ensure that the building continues to comply with all fire authority and legal requirements.
•Maintain and review annually the Emergency and Business Continuity plan in consultation with the senior management team.
•Ensure all risk management and method statements (RAMs) comply with all relevant Health and Safety legislation and minimise risk to staff, equipment, assets and all visitors and guests.

5.Buildings Maintenance
•Be responsible for planning and implementation of short and long-term maintenance and preventative care programmes in consultation with the Finance Director and Head of Collections & Exhibitions, management team and conservation architect.
•Prepare specifications and timing schedules and liaise with the Finance Director in drawing up annual budgets.
•Be responsible for day-to-day maintenance and running of the plant, and oversee any repairs and alterations.
•Manage facilities contracts and contractors providing maintenance, mechanical and electrical, security and cleaning services onsite; ensuring that the building is maintained to a high standard and that a suitable environment is provided for the collections, visitors and staff.
•Lead on sustainability efficiencies and strengthen sustainable practices. Review and update policies and procedures relating to sustainability.

6.Procurement
•Working with the Finance Director, be responsible for the procurement of services from external contractors and consultants, and ensure work is completed on time and to the appropriate safety and quality standards and within budgetary and other financial parameters.

7.Other
•Support the Head of Learning and Engagement in the development and delivery of the Child Protection and Safeguarding Vulnerable Adults policies and procedures.
•Represent the museum at Visitor Services and Security forums in order to share good practice and drive up standards
•Undertake other duties as appropriate to the role and within the competence of the role holder, including overtime duties when required.
•Be aware of and comply with the museum’s policies.
•Oversee supervision of volunteers and work experience students as appropriate.

Security, Visitor Services and Operations
oPrevious experience of a management role in a security and visitor service environment is essential.
oPrevious experience of managing facilities and day to day operations of a site, preferably of a historic building or museum is essential.
oHealth and Safety qualification is desirable.

Communication skills
oAbility to communicate effectively with staff and members of the public.
oAbility to liaise with a wide range of people at all levels and to act with credibility, tact and diplomacy.
oAbility to remain calm and to communicate effectively when under pressure.

Planning and organisation
oStrong time management skills with an ability to plan ahead, anticipate requirements, problems and obstacles.
oGood project management skills.
oAbility to work on own initiative without close supervision.

Management skills
oAbility to motivate others to achieve team and individual goals.
oAbility to contribute to operational and policy decisions as a member of the management team.

Personal specification
Self- motivated
oFlexibility to adapt work plans and schedules as necessary.
oAbility to cope and to advise others in an emergency situation e.g. fire.
oCommitted to the aims and objectives of the Geffrye Museum.
oA DBS check is required.
oFlexibility to work evenings and weekends as required.
