As a Collections Management Coordinator, you’ll take on a central part in the administration and custodial control of Royal Collection objects across the UK and beyond, ensuring that long term loans are expertly managed, accurately documented and cared for to the highest standards. You’ll help to coordinate the inventory check cycle, supporting major projects and contributing to the planning and organisation that underpin the Collection’s integrity.
Key Responsibilities:
• You'll oversee the correct documentation and administration of new and returning long term loans, whilst maintaining a risk register to support responsible custodianship.
• Working closely with conservators and curatorial colleagues, you’ll coordinate and participate in condition and inventory checks of loan objects.
• You’ll support the coordination of the annual inventory check cycle by planning, scheduling and managing checks, liaising across departments, resolving issues and reporting outcomes.
• You’ll contribute to inventory work across the Royal Residences by supporting the creation, processing and closing of checks on our collection management system while monitoring the accuracy of resulting data.
• You’ll assist with the physical movement and packing of works of art, completing associated documentation and contributing to safe handling procedures.
• Acting as a Collections Management representative, you’ll support major storage moves and reorganisations, including preparations for the new Art Store and the reshaping of existing stores.
• You’ll help colleagues make effective use of our current collections management system, and play a part in supporting the transition into our new system.
• Whether contributing to Royal Collection Trust projects or assisting with activity connected to the Royal Events Programme, you’ll provide reliable, informed support across the organisation.

Required Skills / Qualifications
• With expertise in collections management within an historic house, museum or similar environment, you’re ready to take the next step in your career.
• You have experience administering loans of artworks, nationally or internationally, and understand the responsibilities and sensitivities involved.
• A confident user of collections management systems or complex databases, you work methodically with data and have excellent IT skills.
• With practical experience in the handling and packing of artworks and a basic understanding of conservation and preventive care, you can support safe and responsible object movements.
• You bring experience in auditing a collection and understand the environmental, security and risk‑management considerations essential to safeguarding historic works.
• Highly organised and a natural problem‑solver, you manage your workload effectively and can deliver projects independently or as part of a team.
• An excellent communicator, you build strong working relationships with a wide range of people and demonstrate sound judgement, discretion and reliability.
• With a broad knowledge of art history, you’ll be eager to deepen your understanding of the complexities working with a historic collection across multiple residences.
• A full UK driving licence would be beneficial, however not essential.
