Capital Finance Administrator, St Fagans: National History Museum

Welsh Language Level Requirement: Desirable

Job Summary
• Provide administrative support and assistance to the Capital Projects Manager and other capital team members in the delivery of capital projects.
• Issue purchase orders using the museum’s finance software system and manage and process monthly incoming invoices. Maintain financial spreadsheets for the capital projects, updating financial reports as required.
• Work with Procurement to manage framework clarifications and administration linked to the tender processes. This includes liaison with external consultants and contractors across a variety of procurement frameworks.
• Managing online software for internal and external data sharing including Viewpoint (4 Projects web-based portal) and Kykloud (condition surveying web-based database) for annual site surveys.
• The administration of project stakeholder sessions and project board meetings, to include agenda setting, minutes, actions, and meeting logistics.
• Work closely with other Amgueddfa Cymru staff to ensure the effective presentation and development of the core services provided by the capital projects team.

Key Responsibilities
• Provide capital projects programme administrative duties efficiently and effectively.
• Responsibility for managing the capital project finances using the internal NAV application.
• Provide up to date statistical information, reports & other project requirements.
• Work with Procurement to manage framework clarifications and papers linked to the tender processes.
• Manage & administer online software for internal and external data sharing including Viewpoint 4 Project and Kycloud web-based project portal.
• Work collaboratively with internal teams, stakeholders & contractors to support the capital projects delivery.
